A live poll asked attendees where they lose the most time after an event. The top answer, from 43% of respondents, was getting the attendee list to their team for outreach. The next most common answer was figuring out who actually attended. Every answer pointed back to the same root cause: a handoff somewhere in the process.

Why the handoff is an architecture problem, not a workflow problem
Here’s what that handoff usually looks like when event data lives outside Salesforce, whether that’s a standalone registration tool or just spreadsheets:
- Someone registers for your event.
- Your team exports the registration data.
- Someone cleans it, usually in a spreadsheet.
- The clean data gets imported into Salesforce, or entered by hand.
- Someone gets assigned to follow up.
- Someone reports on how the event went.
Six steps. None of them feel broken on their own, and plenty of teams run events well this way every week. But each one is a workaround, and the sequence has a hidden cost: every export creates a copy of the data, and every copy means decisions are being made on information that could already be out of date.
The timing makes it worse. The moment follow-up matters most is the first few hours after an event, while people still remember being there. That’s exactly the window when exported, uncleaned, unimported data is least ready to act on.

What it looks like when the data never leaves Salesforce
In the webinar, Ryan ran through a live example built in Blackthorn Events: a nonprofit summit, though the same flow applies to a conference, a training program, or an alumni event.
Someone registers for the event, picks their tickets, answers a couple of custom questions for their badge, and makes a small donation at checkout. The moment they submit, that information lands in Salesforce, the same org your team already works in. No export. No import. No second system to check.

- Make event data visible immediately. If your team has to wait on an export or a manual import, the data is already working against you. Visibility isn’t a reporting nicety; treat it as an operational requirement.
- Keep the attendee journey in one record. When every interaction, a registration, an attendance scan, a donation, a conversation, updates the same Salesforce record, your whole team works from one source of truth instead of arguing over which spreadsheet is current.
- Trigger follow-up from behavior, not from lists. Automation based on what an attendee actually did means your team reaches out while the moment is still warm, not after the data, and the lead, has gone cold.
